Privacy Policy

Erudex provides online courses, practice tests, examinations and certificates. This policy explains what personal information we collect when you use the service, why we collect it, how long we keep it, and the choices you have.

We collect only what we need to run your account and deliver your learning:

• Account details: name, email address, account type, and password credentials held by our authentication provider.
• Learning records: courses you enrol in, lessons completed, quiz and examination scores, practice-test attempts, and certificates issued.
• Purchases: the items you buy, amounts, and payment status. Card details are entered on our payment provider's secure page and are never stored by us.
• Job applications: the name, email, phone number, certifications, links, cover note and resume you choose to submit.
• Messages: contact-form submissions and live tuition requests.
• Marketing preferences: your choice to receive promotional emails, when and how any required permission was given, and any withdrawal of that permission, where collected.
• Terms and privacy acceptance: when a customer or guest checks an acceptance box, we record the date and time in UTC, the page, the accepted statement and policy versions, IP address, approximate country, region and city, time zone where available, and browser information. Signed-in records are linked to the account. Guest records use a random browser identifier and any name or email provided; signup acceptance may be linked after sign-in. Guest-provided contact details are not proof of identity. Location is approximate and may be unavailable.
• Technical data: pages viewed, course view counts, device and browser information, and security logs. For signed-in users, we also record IP addresses, approximate country, region and city, time zone, visit counts, and first and most recent activity times. Location is estimated from your internet connection, not GPS, and may be inaccurate, particularly when you use a VPN or mobile network.
• Course searches: for guests and signed-in visitors, we record search terms, the date and time, the catalogue or school directory searched, filters, matching courses and result counts, and approximate country and city when our hosting provider supplies them. Signed-in searches are linked to the verified account. A daily one-way IP-derived value is used to limit automated abuse; raw IP addresses are not stored in search records. Avoid entering personal or sensitive information into course searches.

We use your information to give you access to the courses you are entitled to, record progress, issue and verify certificates, take payment, answer your messages, pass job applications to the relevant hiring manager, keep the service secure, and improve the courses.

IP addresses and approximate locations help us monitor account activity, protect the service, and understand how it is used in different geographic locations. This helps us improve the experience for users in specific regions, including identifying regional access or performance issues and informing improvements to learning delivery and support. Individual activity records are available only to authorised administrators and are not displayed publicly.

We do not sell your personal information, and we do not use your coursework to train machine-learning models for third parties.

Private search reports help authorised administrators understand demand for courses, identify searches with no results, and improve course discovery for different regions. Search history is not publicly visible and is not used to give marketing permission.

Acceptance records are available only to authorised administrators and help document your agreement, resolve disputes and comply with legal obligations. They do not constitute separate permission for promotional marketing.

We use your email address to send account and transaction messages, including welcome messages, security notices, purchase confirmations, receipts, payment or renewal updates, learning-access information and support replies. We may also contact you from time to time to answer questions, request feedback and help you get more from the services you use. Our aim is to make your learning experience spectacular through useful, relevant support. These service communications are distinct from promotional marketing.

Separately, we may use your name and email address to send promotions and offers about courses, certifications, our mission and the Refer and Earn programme when we have the marketing permission required by applicable law. Messages encouraging additional purchases, referrals or new course exploration are treated as marketing, even when described as experience improvements. Where permitted and with appropriate marketing permission, we may tailor these messages using signup date, course interests and whether you have made a purchase.

Where the law requires a legal basis, we rely on performance of our contract with you (providing your account and purchased learning access), our legitimate interests (securing and improving the service and responding to enquiries), your consent where required for promotional emails, and compliance with legal obligations such as accounting and tax records. Creating an account or accepting our terms and this policy is not, by itself, marketing consent. Where consent is required, we request a separate, optional choice.

We share personal information only with service providers who help us run Erudex, and only as far as needed:

• Our cloud hosting, database and authentication provider, which stores your account and learning records.
• IP-location lookup providers, which may receive your IP address to estimate your country, region, city and time zone when that information is not available from our hosting provider.
• Our payment provider, which processes card payments and holds the payment record.
• Video and email delivery providers used to serve lessons and send account, support or permitted promotional email. Brevo is our selected marketing email provider and may receive the contact details and preferences needed to deliver permitted messages and honour unsubscribe requests.
• Hiring managers for the specific opening you apply to, when you submit a job application.
• Authorities or advisers where we are legally required to disclose information.

If your employer or institution bought your seat, its administrators can see the courses licensed to your organisation, your membership of it, and certificates you earn on those licensed courses. They cannot see your password, your payment details, or activity outside the organisation's courses.

Account and learning records are kept while your account is open, so your progress and certificates remain available and verifiable. Certificate records are retained after that so an employer can still verify a certificate you earned. Payment and tax records are kept for the period the law requires. Job applications and resumes are kept while the opening is being filled and for a reasonable period afterwards, then deleted.

Acceptance records are retained only as long as reasonably needed to document agreements, handle disputes or meet legal obligations, including where necessary after account closure. You may request review or deletion subject to those obligations.

Data is encrypted in transit, access to administrative tools is restricted to authorised staff, and resumes are stored in private storage reachable only through short-lived links. No system is perfectly secure, so please use a strong, unique password and tell us promptly if you suspect a problem with your account.

You can ask us for a copy of the information we hold about you, correct it, delete your account, object to a particular use, or ask us to restrict processing. Email courses@erudexonline.com and we will respond within a reasonable period. Deleting your account removes your learning records; certificate verification records may be retained so that certificates already issued can still be checked.

Depending on where you live, you may also have the right to complain to your local data-protection authority.

You can stop promotional emails at any time using the unsubscribe link in those emails or by requesting this through our contact page. Withdrawing marketing permission does not remove your account, change purchased access or prevent necessary service notices. We do not treat policy updates as permission to market to existing users or to contact people who have opted out. We may retain the minimum opt-out record needed to honour your choice.

We use cookies and browser storage to keep you signed in, remember your preferences, count course views once per browsing session, and keep the service secure. You can clear or block them in your browser, but sign-in will not work without the cookies needed to hold your session.

Advertising measurement: we use Google Ads to measure which ads bring visitors to this site and which visits end in a completed purchase. This involves Google setting an advertising cookie and Google (as a recipient) processing page interactions and purchase events for ad measurement and optimisation. In regions where the law requires it, this runs only after you accept in the banner shown on this site; you can accept, reject, or change your choice at any time via the Cookie settings link in the footer. Visitors outside those regions can also opt out the same way. Advertising clicks and impressions are unaffected by this choice; the banner only controls the measurement of your visits and purchases.

The service is intended for adults and for students old enough to hold an account under the law of their country, or who have a parent or guardian's consent. We do not knowingly collect information from young children; if you believe we have, contact us and we will delete it.

Our providers may process data in countries other than your own, with appropriate safeguards in place. If we change this policy, the revised version will appear here with a new date; material changes will be highlighted on the site.
